OUTSIDE SALES ASSISSTANT (Maternity Leave)

The role provides office support to a group of outside sales consultants. If you are highly organized, have administrative or sales coordination experience, can work in a high-volume environment and eager to be part of a successful team, please apply for this position. This is not a sales-based nor a commissioned position.


This is an 18-month maternity leave contract with a possibility to extend.

What You Will Do:


Sales Support:

  • Provide support to the outside sales consultants in writing up orders/estimates including pricing
  • Create project spec forms and write up sample emails including product links, and prices
  • Looking for alternates to replace discontinued products
  • Responsible for auto pricing - for the Electricians/Contractors for both Nanaimo & Victoria stores


Customer Service:

  • Respond to requests from customers and outside sales team in a timely manner
  • Schedule deliveries of the orders and keep the information flow running with the warehouse
  • Check and confirms stock with manufacturers
  • Request pricing for new products that are not in the sales software
  • Deal with warranty related issues such as defective products etc.
  • Process payments and arrange invoices accordingly
  • Manage multiple overstocks for big projects and follow up on replacing the stock
  • Follow up with clients (i.e., b/o, ETA requests, orders needing to be picked up)
  • Cancel orders for projects that are on back order and offer replacements
  • Follow up with customer service-related issues such as missing product, defectives etc.


Office/Administrative Duties:

  • Manage the calendars of the outside sales consultants up to date, schedule client appointments, takes messages and return calls to ensure extraordinary service is provided to all customers
  • Perform administrative duties such as filing as requested by the sales consultants
  • Co-ordinate the flow of information internally within the outside sales office and other parties in the organization
  • Keep outside sales office clean and organized
  • Restock supplies (i.e., printer paper, stationary, cleaning supplies etc.) for the outside sales office


Profile:

  • High School Diploma
  • Minimum 2 years of experience as sales or administrative assistant in a retail or similar environment
  • Good command of Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Ability to quickly learn and adapt to new/revised processes
  • Customer service oriented with a commitment to quality
  • Flexible and willing to take on additional tasks as job requirements may change
  • Team player with the ability to adapt to changing priorities
