Operations Coordinator

About The opportunity

EY Design Studio’s team in our Business Consulting group is expanding and looking to hire an Operations Coordinator.

You have experience anticipating the needs of the team and taking financial and administrative tasks off the plates of executives with confidence and ease. Your organizational skills are beyond comparison and with dozens of client follow-up conversations to track every day, your attention to detail and consistency is paramount to your success.


Your Key Responsibilities

  • Prepare and send invoices to our clients on a monthly basis, and maintain detailed billing schedules for all current projects
  • Maintain contract information on all current projects
  • Assist Engagement Managers with project set-up and administration of the projects in our systems
  • Report to Partners and Engagements Managers on project budgets, billings, and expenses
  • Monitor, update, and compile timesheet data from multiple sources;
  • Build relationships with clients from both the public and private sectors;
  • Post, pay and reconcile A/P obligations in a timely manner;
  • Respond to client inquiries;
  • Assistance with financial planning, reporting, and budgeting;
  • Provide additional clerical and administrative support as needed.


To qualify for the role, you must have

  • Minimum of 2-years experience as an Executive Assistant, Office Administrator or Bookkeeper, in an office environment working closely with Senior Executives and general team members - co-op experience counts too!;
  • Experience tracking accounts payable and accounts receivable
  • Experience in bookkeeping, accounting or general financial operations
  • Knowledge of, spreadsheets, data retrieval and reporting;
  • Strong service quality experience with excellent interpersonal and communication skills (written and verbal);
  • Flexible, self-motivated, and comfortable working independently most times
  • Strong organizational, multitasking, and administrative skills;
  • Ability to maintain a high level of confidentiality;
