Director of Operations (Nanaimo)

Together Against Poverty Society is hiring a full-time, permanent position for a manager in our Nanaimo office. The deadline for applications is Thursday, April 25, 2024.


Located in Victoria on the territory of the Lək̓ʷəŋən (Lekwungen) peoples, and Nanaimo on the territory of the Snuneymuxw Nation, TAPS is one of the largest anti-poverty organizations on Vancouver Island. TAPS specializes in face-to-face legal advocacy services. Job Description (Nature of the Position)


The Director of Nanaimo Operations manages our Nanaimo office, working closely with the Executive Director and Victoria Director of Operations to deliver legal advocacy services to the Greater Nanaimo area. The primary job responsibilities for this position are as follows:


1.        External Relationships – Help represent TAPS at community meetings and engage with community partners and allies, and help to maintain constructive relationships with government agencies linked to our services.


2.      Operations and Facilities – manage office operations, including acquisition of supplies, managing contracts with service providers, and responding to staff concerns.


3.      Finances/Accounting – Assist the Executive Director in the preparation of budgets for the Nanaimo office and programs, and with the completion of the audited financial statement of the organization, organizing the processing of accounts payable and staff reimbursements when required.


4.     Fundraising – Assist the Executive Director in the creation of fundraising strategy and execution of fundraising events, appeals, and the processing and thanking of one-time and monthly donors.


5.      Advocacy – Support the Executive Director and Supervising Lawyer on helping advocates to perform the ongoing legal work at TAPS. Take a leading role in the operations of our advocacy programs by supervising requests for public legal education, coordinating the gathering of statistics for reporting, coordinating work on policy reform within projects, and facilitating the creation of workplans for staff.  


6.      Human Resources – Help with the collection of staff timesheets and ensuring the accurate recording of lieu, vacation, and sick time, and assist the Executive Director with the creation of internal policies. Assist in the hiring and termination/discipline of employees, and in managing inter-office conflict when it arises.


7.      Governance – Help meet the Society’s obligations under the Society Act, including the holding of an AGM, and filing of an Annual Report. Participate in board meetings when required and help facilitate effective communication between management and the Board of Directors.


8.     Communications - Collaborate in the coordination of external media for the organization, and act as a spokesperson for TAPS when needed.


Required Qualifications, Knowledge, Education, and Skills


There are no specific educational qualifications for this position, but experience with any or all of the following is important and will be considered in the hiring process:


·         Prior experience managing an office, organization, or small business; 

·         Legal experience or understanding of the areas TAPS works in, and how a non-profit organization operates;

·         Experience working in human resources and the supervision of employees, especially in a unionized work environment;

·         Experience or understanding of information technology (IT) and a strong ability to troubleshoot problems with personal computers, office networks, and other small business related systems; and,

·         Experience speaking to the media and acting as a spokesperson on behalf of a group or organization.


Hours of Work and Compensation​


The wage for this position is $41.20/hour ($75,000 annual).


This position is full-time (5 days/week or 35 hours/week) but may also be eligible for 4 days/week or 28 hours/week depending on the circumstance. All shifts are located in the Nanaimo office and hours of work on scheduled days must cover any period of time the office is open to the public. While there is some flexibility with start and end times the standard shift at TAPS is 7 hours with a one hour unpaid lunch break which may be shortened or skipped at the discretion of the employee. This position requires daily in-person attendance at our office.


This position is a management position and is exempt from union membership. TAPS works hard to contain all positions to scheduled work hours and resists a culture of expected work after hours. When work is required outside of normal hours staff are encouraged to structure their days to alter their start and end times, and scheduled evening events like fundraisers, public education sessions, and board meetings are typically limited to once or twice a month.


Start Date and Duration of Position


The start date for the position is flexible but we are hoping for a candidate who can start as soon as possible. This position is permanent and has no determined end date.


Benefits


All staff at TAPS, unionized and management, receive 20 days of paid vacation in a year and 15 days of sick time, with an additional paid break of 4 days over the winter holiday closure. All staff are eligible for extended health benefits after 3 months, and TAPS operates an RRSP matching project up to 4% after one year of service. Staff also receive a $300 health spending account yearly for support with health-related costs not covered under our benefit plan.


About of Office


The TAPS office in Nanaimo is located at 502-495 Dunsmuir Street. Parking is available in an outdoor lot adjacent to the building, and TAPS covers the cost of parking in that lot for its employees. Employees have dedicated offices for themselves with closing doors, and the office currently employs 3 legal advocates who provide service with income assistance and disability matters, residential tenancy matters, and applications for disability benefits. Our office is growing and we anticipate adding additional staff in the coming years.
