Rook & Rose is a fast-growing floral design company with a retail store, studio space, and events department based in Victoria, as well as a wholesale division based in Los Angeles. We're in regular collaboration with international companies in various industries, including Louis Vuitton, iLoveCreatives, Nora Agency, Egg Studio, and No Revisions.


Our Administration and E Commerce Assistant’s main focus is on the organization of internal documents, overseeing multiple inboxes, virtual customer service, and updating our online store. 

The ideal candidate is super organized and detail-oriented, with strong time management skills. They are capable of working independently, as well as part of a collaborative team, and love a color coordinated spreadsheet.


  • Serve as the key contact person for all client-facing interactions: meetings, emails, status reports, recaps, agendas, etc.
  • General email correspondence (with customers, suppliers, partners, etc.)
  • Confidently manage information relating to various projects, proposals, schedules, costs, and timelines – with clients and the internal team
  • Track billing schedules, outside costs, payroll, invoices and estimates – coordinating with our accounting and bookkeeping team
  • Appointment and staff scheduling
  • Month-end reporting and tracking of key metrics
  • Tracking shipments (incoming and outgoing)
  • Research and understand industry/market trends
  • Input/monitor all task progress in project management software and ensure ongoing compliance with project scope


  • Minimum 2 years in a similar role, ideally with a design-based business
  • Post-secondary education in a related field (administration, business, communications)
  • Experience and comfort working in e-commerce and/or a startup environment
  • General knowledge of Microsoft Word/Excel, GSuite, Mac OS, Canva, Asana, Rise, and Shopify
  • Financial acumen for analytical reporting
  • Passionate about problem-solving and able to take direction and constructive criticism professionally
  • Self-directed with a strong work ethic
  • An expert team player and a flexible, creative thinker
  • A keen ability to handle and prioritize multiple requests simultaneously
  • Excellent attention to detail, organizational and time management skills
  • Strong people skills, demonstrated by actively cultivating relationships with coworkers, clients, and brands
